In today’s premium office environments, tenants expect exceptional concierge-level service. This expectation places immense pressure on front of house teams who must maintain these high standards around the clock.
This case study explores how a global real estate company leveraged Pego Sense to not only uphold these rigorous standards but also achieve a 75% reduction in dedicated front of house hours. By doing so, the team was able to take on more responsibilities and manage a larger office footprint, all while enhancing the tenant experience.
The company operates a premium office space within a Grade A building that includes a conference centre with seven executive meeting rooms available during extended business hours. Each of these rooms must be meticulously prepared and quickly turned over between meetings. Traditionally, this required a dedicated front of house team working long hours.
However, a significant portion of this team’s time was spent on low value tasks like visually checking empty rooms or waiting for meetings to finish. This time could be better spent on activities that add more value elsewhere in the building.
To address this, Pego Core and Pego Pulse were installed across the office, and Pego Sense was implemented in the conference centre. This covered meeting rooms, breakout areas, the reception, and the kitchen. Pego’s sensor Pods collected occupancy and room condition data over three months.
The Pego system ensured that the total privacy of building occupants was preserved throughout this process. The sensor Pods are only able to capture images once they have determined that there are no people within range.
For added security, Computer Vision technology paired with Reasoning AI analysed every image taken and discarded any that might contain even a small part of a person. The remaining images were then processed by Pego’s AI to determine room conditions and notify the front of house team of any required work via the Pego mobile app.
Pego Sense provided real time data that allowed the front of house team to monitor room occupancy and conditions remotely via their Pego mobile app. This eliminated the need for manual checks or proximity to the meeting rooms, allowing staff to work elsewhere in the building and attend to the meeting rooms only when necessary.

Freeing Up Staff Time
Pego Sense allowed the team to maintain real time awareness of room conditions while freeing them up to complete other important tasks across the building.

Pego Sense’s AI was fine tuned to detect small details like misaligned chairs, missing notepads, and watermarks on furniture. This generated precise instructions for resetting rooms, ensuring consistently high standards even as the team spent less time on this function.

Pego Sense identified several health and safety risks including liquid spills, fire hazards, and obstructions to escape routes, enabling the team to address these issues promptly.

Over the three month period, Pego Sense flagged 281 potential information security incidents including unlocked computers, laptops and mobile phones left in unattended meeting rooms, and abandoned keys and bags.
Security
Pego Sense provides real time information on the presence of people in all areas monitored. When consumables went missing overnight, the front of house team cross referenced unexpected room usage with access pass logs and identified the person responsible.
Insightful Space Utilization
The detailed utilization heatmaps generated by Pego Sense provided valuable insights into how spaces were being used, especially in the context of hybrid working. For example, the company identified underused rooms and opportunities to reconfigure spaces to better meet the needs of smaller groups.
The company is now able to determine when a room is booked but not actually used, or whether the room was oversized for the party that used it. This information helps the team to manage room bookings more efficiently.
In one instance, a 22 seat boardroom was frequently used by one person at lunchtime, and Pego Sense often identified litter left behind. The company reminded employees to use breakout areas for meals, ensuring that the boardroom remained available for its intended purpose during key hours.
